Please note that the JISCMail list called ‘EPUG-UKI’ is an administrative list only used by EPUG-UKI Committee and Ex Libris to reach all members through a single email. It does not accept subscribers, but you will receive any emails posted to it (by the Committee or Ex Libris) if you are a member of any of the other EPUG-UKI-XXX lists.

Registering an email address

Only members of current EPUG-UKI member institutions (and employees of Ex Libris) can register for an EPUG-UKI email list.

In order to manage the EPUG-UKI email lists appropriately, it is required that –

  • Individuals register, using their personal institutional email address (e.g. no Gmail, Hotmail or other addresses will be accepted)
  • Generic email distribution lists are not used (e.g. please do not register ‘estuff@university.ac.uk’)

If you have a specific need to register a generic, rather than a specific, individual email address for an EPUG-UKI email list, please contact a member of the Committee.

Joining an email group

To request to join any of these lists:
send an email to listserv@jiscmail.ac.uk
leave the subject line blank
The message should begin
subscribe EPUG-UKI-XXX Firstname Lastname

-e.g.
subscribe EPUG-UKI-ALMA Melvil Dewey

it is recommended that the two dashes immediately follow your subscribe request, as it indicates the end of the command request.
Otherwise, characters in your email signature can be wrongly interpreted as part of the request.

The request will be sent to the list administrators, who are usually able to authorise it once they can confirm your institution is a current member of EPUG-UKI, or you are an Ex Libris staff member.

Emailing an EPUG-UKI email list

Once a member of the mailing list, you can send an email to the group by simply emailing the relevant group, e.g.
EPUG-UKI-XXX@jiscmail.ac.uk

If you experience any problems with joining or using the lists, email the administrator at, e.g.
EPUG-UKI-XXX-REQUEST@jiscmail.ac.uk

Advertising job vacancies

Job vacancies (temporary, ongoing or consultancy-based) related to the use of Ex Libris products can be advertised to members of the EPUG-UKI community through the relevant EPUG-UKI email list, in accordance with the following guidelines:

  • Notification of jobs vacancies within the EPUG-UKI community of members, and within the UK/European offices of Ex Libris, can be circulated via the appropriate EPUG-UKI email list where the job relates principally to the management or development of Ex Libris products. Relevant job vacancies can be advertised by EPUG-UKI member institutions and by Ex Libris. General library job vacancies (not related directly to Ex Libris products) cannot be advertised through EPUG-UKI channels.
  • Job vacancy details should not be sent out to an EPUG-UKI email list without prior agreement – details should be sent to the relevant product strand organiser or to a member of the EPUG-UKI Committee for approval.
  • Notifications should be sent out (once only, for each recruitment round) to the best-matching list, rather than via the EPUG-UKI super-list as a default (unless it is a cross-product/cross-responsibility appointment).
  • Where a job vacancy relates to all or most of the products in the Ex Libris suite, approved details will be sent out on the EPUG-UKI super-list by one of the Committee.
  • All job vacancy advertisements should include a subject line suffix (e.g. [temporary job vacancy]) so that those not interested can delete the email without needing to open it.

Any queries about these arrangements can be raised with the EPUG-UKI Committee.

Leaving an EPUG-UKI email list

To leave any of the mailing lists:

  • send an email to LISTSERV@JISCMAIL.AC.UK
  • leave the subject line blank
  • The message should contain the following:

UNSUBSCRIBE EPUG-UKI-[LISTNAME]

e.g.

UNSUBSCRIBE EPUG-UKI-ALMA

Ex Libris product mailing lists

In addition to the above EPUG-UKI email lists, https://exlibrisusers.org has product email lists at a worldwide level to discuss broader issues not necessarily specifically relevant to UK Higher Education institutions. Many members choose to subscribe to both the EPUG-UKI and the Ex Libris mailing lists.

Ex Libris product Basecamp forums for UKI Community

These Basecamps forums have been set up by Ex Libris and are open to any UKI Ex Libris customers i.e. not restricted to EPUG members.

To be added to either forum, you can email epuguki.secretary@gmail.com

Alternatively to be added to the Leganto Basecamp, open a support case in the Ex Libris Support Centre (Salesforce) marked for the attention of Leonard Wright/Kevin Browne. Leonard is the admin for the Basecamp area and can add users to the site.

A Basecamp area had been set up in the past for Community Zone and Content issues, however, this is no longer in use. Please use the EPUG-UKI-CZ mailing list to discuss any UKI-specific content issues in the interim – this can be used to demonstrate demand for a dedicated Basecamp site in this area to potentially be set up again in future.
